Now that Inform Direct has retrieved your company information from Companies House this guide will explain best practices to ensure that everything is in order.

This guide will also explain the common alerts that can be present after import and how to resolve them.

Update the shareholders held from dates

Companies House send Inform Direct the date of the last CS01 along with the Shareholder list. This means Inform Direct will default to this date for the shareholders held shares from, in most scenarios the registers will not hold the correct date on import.

This can be easily updated on Inform Direct, please see our guide How do I edit the imported shareholdings? for more help.

Checking Shareholder Information

Inform Direct will now hold information from the last CS01 with a full Shareholder list at Companies House, to check what has been received navigate to the 'Shareholders' section.

Note: If the information sent by Companies House does not match the last shareholder list Companies House may have made a mistake with their electronic record, you will need to check previous filings for errors.

If there have been any unreported transfers since the last shareholder list then you add these. See How Do I Transfer Shares? for help. The registers will be updated at the same time.

Adding Historic Information to the Registers

Currently Companies House do not send us any historic information, this means that if you have a Director who was resigned prior to importing the company we will not receive this information. The good news is that this is easy to add to your registers on Inform Direct.

Please see How Do I add Historic Information to the Statutory Registers? for help.

Adding the Company Logo

Inform Direct allows you to add both your firms and your clients logos, this will be present on the supporting documents, Share Certificates and Dividends. Please see How Do I Add Logos to Documents produced by Inform Direct? for help.

Checking your Share Classes are reconciled

In some cases the latest statement of capital and shareholder list do not match, we call this having an unreconciled share class. There will be an alert on your dashboard to let you know when this has occurred.

If there have been changes to the statement of capital, (Allotments, Share splits, Conversions etc...) and if Confirmation statement has not be filed following the change, Companies House will be aware of the new statement of capital but not who holds the additional shares.

In order to ensure we have full and complete registers and to identify the correct shareholders you will need to replicate the transactions that occurred at Companies House since the last statement of capital.

Please see the guides below:

For more general information on unreconciled share classes:

Are the shares in the company paid or unpaid?

When a company is imported to Inform Direct you may need to update the share class's to reflect if they are nil paid, partly paid or paid up. It may be necessary to attribute the paid/unpaid amounts to the correct shareholders or update the share class.

If you have a message like the one below on the dashboard. See How Do I Attribute Shares? for help with this.

If you have the below message on your dashboard this means that the information coming back from Companies House was inconsistent i.e. the shares were coming back as both paid and unpaid. This simply needs to be corrected.

Please see How Do I Amend the Amounts Paid / Unpaid? for help.
