A draft document can be created before generating dividend vouchers, allowing the details to be put on hold and be reviewed before they are completed, if necessary.


How Do I Create a Dividend Voucher and Minute?

   

The final stage of the process to create dividend vouchers will ask if approval is required as detailed below. This is an entirely optional process.


1)   Selecting Yes will take you through the process to create the approval document which is the process that this guide will deal with.


Selecting No does not create the summary document and proceeds to the next step to complete the process on the software.

2) After clicking Yes, Inform Direct will create a summary document which will be saved into your Document Library


It will also give you the opportunity to create any supporting documents in advance of the change. You will need to ensure you tick alongside the documents that you wish to create and then hit the green 'Continue' button.



3) You will have the option to 'Open now' or 'Open later'. Whatever option you select here, the documents will be saved to your Document Library regardless. However, selecting 'Open now' will download a zip file to your computer immediately.


How Do I Search For a Document in my Document Library?



What do I do now?


The approval document created displays the information as detailed below, it includes a section located at the bottom of the document which can be signed and dated, if you need to. 



1) A new Pending Approvals section will have appeared on the dashboard for the company above the Alerts & Notifications section. 



2) If you click on the yellow pencil icon under Actions you will see 3 options:

  • Complete
  • Edit
  • Remove 

                     

So, if the person who needs to approve the dividends gives you the authority to submit it or you are now simply ready to file then click on Complete.


3) Selecting complete will take you to a summary stage to create the vouchers.
