Selecting an existing person helps to ensure their information remains consistent and saves entering their details for each appointment.


During the process to incorporate a new company you will be required to enter the officers/shareholders.


After selecting whether they are an individual or corporate record and the roles which they will have in the company, you will be taken to the screen below. 



Typing the name of the officer/shareholder will automatically search the existing records within your portfolio. In the example below, as we type 'Frank' it immediately identifies that Frank Brown has an existing record on the portfolio.

  


There are three options available which are labelled in the image above. If you see multiple records for the same individual please refer to this guide for help:


Why are there multiple records for the same individual?



Option 1 - Advanced search


The advanced search opens in a pop up box. This allows you to search using the name, existing company which they are listed and their date of birth.

Additional filters can be added to pick up records which are only used as officer, shareholders or PSCs


Option 2 - Existing record


The initial search looks to immediately identify anybody who matches the details entered, those found are listed below the search box and can be selected by clicking 'Use this person'.

If more than 4 results appear there will be a button to view all results that match. 



There is also an 'i' icon next to their name, this provides further details to help with ensuring you have selected the correct existing person.




Option 3 - Create new person


If the person you are adding is new and not linked to any other companies in your portfolio, selecting the 'Create new person' option will allow you enter their details.
